TERMS & CONDITIONS

Terms and Conditions 1st January 2026

By agreeing to our terms and condition you are confirming that you have read the Terms and agree to be bound by them. These terms together with the items listed in paragraph two, below, constitute a contract between you (the client) and us (Total Wellness Method Limited trading as Studio 214).

 

Introduction

All classes, courses and workshops (collectively referred to as “Sessions” for the purposes of these Terms) provided at our premises or by us Studio 214, (5 Furtherwick Road, Canvey Island, Essex, SS8 7PW), subject to the following express Terms. In these Terms “we”/”us”/”our” means Studio 214. And “you”/”your”/”yours” means you, the client.

Booking classes/personal training/ Treatment

The cost of each Session will be shown clearly on the website, app and online booking system. Bookings for classes can be made on any available schedule. Bookings can be made: via the online timetable on the website; through an e-mail to; over the phone; or in person at our premises; or through our app or our third-party service providers. It is your responsibility to ensure that you have made your booking and (where relevant) submitted payment correctly.

Make sure you note the expiry date for each single class or package. It can also be found on your receipt. Limited time offers may have different expiration dates and validity restrictions. See terms and conditions for each package.

*Unlimited classes: Maximum one per day. No show and late cancellations will be charged at full rate automatically with the payment method on file; special conditions apply for rolling contract.

 

*First Class and/or first Personal Training session is limited to 1 per person.

Payment for your Sessions must be made at the time of booking and can be made by using cash at the studio, credit card or debit card. Payments can be made: online; over the phone; via our apps; or in person.

 

Changing or cancelling your booking and no shows

You may change or cancel your booking, without charge, up to 48 hours for personal training and treatment and 24 hours for group classes before the start of the Session that you have booked for. If you book onto a Session within 24 hours of its scheduled start time, there is no entitlement to change or cancel. You may change or cancel a Session booking online, by phone, e-mail, or in person at the studio at which the Session is scheduled to occur.

If we cancel your booking:

In the event that we cancel a Session that you have booked, we will make reasonable efforts to contact you by email or telephone to let you know. We will offer you the choice between:
i. having your Core Pilates Studios account re-credited with the session cancelled;
ii. being transferred to another equivalent Session at an alternative date and time.

Booking confirmation:

Your booking is not complete until you have received a booking confirmation via email. Please make sure you receive a booking confirmation before you attend the Session. If you do not receive confirmation please contact us by phone, e-mail, or in person through the receptionist on duty at the any Core Pilates Studios location at which the Session is scheduled to occur. Prices are subject to change at any time before we accept your booking. All Sessions are offered by us subject to availability. We do not guarantee availability at any time.

 

Lateness policy:

We operate a policy which prevents you taking part in a Session if you are more than 10 minutes late or class has proceeded beyond warm up (Whatever comes first). This policy is in place to prevent injury and in order to be mindful and considerate to the teacher and other participants in the Session. Where you are not permitted to join a Session because of your late arrival it shall be classed as a no-show for the purposes of clause 6. It is the instructors sole discretion for acceptance to class.

 

Compensation                                                            

We will compensate you for any loss or damage you may suffer as a result of a breach of the duties imposed on us by law. However, our liability to you may be mitigated to the extent the loss or damage is attributed to:
i. your own fault;
ii. a third party unconnected with the provision of our services; or
iii. events which we could not have foreseen or avoided even if we had taken all of the responsible precautions our liability to compensate you (other than in the case of personal injury or death caused by our negligence) will be limited to £50 having regard to such factors as whether the loss or damage was due to a negligent act or omission by us.

 

Price changes

We reserve the right to review and change package prices periodically.

Refunds

The client is entitled to 7 days “cooling period” from the date of purchase to request a refund for any unused, valid single session or any unused portion of a valid package.
After the “cooling period” no refunds will be issued.

How you should contact us

Any written notice or completed form should be e-mailed or given in person to the receptionist on duty at a Studio 214. You may change or cancel a class booking by app, phone, email or in person.

 

Fitness and Health

By agreeing to these Terms and Conditions Clients hereby represents that he/she is in good physical condition and is capable of engaging in the active and passive exercises. Any illness or condition must be discussed with the instructor prior to starting the exercises.

  • It is the Client’s sole responsibility to notify the Studio before attending any session of any circumstances affecting their health which may be exacerbated through continued use of the Studio and/or which may have arisen or worsened since their last session at the Studio (if any).

  • Clients are advised not to undertake strenuous physical activity without first seeking medical advice if they have concerns over their physical condition and wellbeing. Consult your medical professional to assess your physical condition to exercise.

  • Clients may train during pregnancy following our guidelines, but consult your medical professional before starting any exercise.

  • The Studio reserves the right to refuse access to any Clients if, in its absolute discretion, it considers that the health of the individual concerned may be endangered by the use of Studio facilities.

  • Clients are required to follow the instructions of the instructor at all time

 

Pregnancy

Limitations are defined and divided by if the client is under regular exercise with Core Pilates Studios Ltd or is a new client for our studios.

New Clients:

  • First Trimester: Studio 214 will not accept new clients during this time of the pregnancy

  • Second Trimester: Studio 214 will only accept new clients from week 12 after a Pre Natal Assessment. At this point clients can join our Pregnancy Reformer only, up to 20 weeks. After this point the client has to book Personal Training with trained specialist or join Pre Natal dedicated classes where offered until end of pregnancy.

  • Third Trimester: Studio 214 will not accept any new client at this time of pregnancy.

Existing Clients:

  • First Trimester: Studio 214 will accept existing clients with regular training schedules up to week 12 to Basic – Classical Reformer classes.

  • Second Trimester: Studio 214 will accept existing clients with regular training schedules after a Pre Natal assessment at week 13 to Basic – Classical Reformer classes up to week 20. Clients cannot book Intermediate, Advanced or Power classes. At week 20, clients need to book Personal Training sessions or dedicated Pre Natal classes where offered.

  • Third Trimester: Clients can continue to attend Personal Training sessions or dedicated Pre Natal classes where offered.

 

Limitation of liability

The Company cannot be held responsible for any particular session, instructor and/or item of Pilates equipment not being available for whatever reason. The Company reserves the right to make alterations to the sessions, instructors and/or equipment, as well as to those ancillary facilities, provided to Clients, without notice and in its absolute discretion and the Company will not be liable for any loss occasioned by such alterations except insofar as such loss is by law incapable of exclusion.

  • It is the Clients responsibility to ensure that he/she is capable of undergoing a routine of exercises provided by any programme which he follows or class which he/she attends. Clients accept the risk of injury from performing exercises and using specialist equipment and are advised to consult their doctor prior to beginning any session. Advice provided by our instructors at no time constitutes medical advice in substitute for advice provided by a medical professional.

  • The Company accepts no liability for loss or damage to property of Clients or for injury to Clients on the Studio premises or outside the Studio except insofar as such loss, damage or injury is by law incapable of exclusion.

  • In consideration of their participation in the activities and programmes of the Company and the use of facilities and equipment owned and/or under the control of the Company the Clients hereby waives and releases the Company from any and all responsibility or liability for injuries or damages resulting from their participation in any of the Company’s activities or use of the Company’s equipment or facilities save in respect of death or personal injury caused by the negligent act or omission of the Company.

 

Personal belongings:

Personal belongings are brought onto the Studio premises at the Clients own risk and the Company does not accept liability for any loss or damage whatsoever to such items.

 

Dress code

Clients are requested to wear a form of dress appropriate to the practice of Pilates, we recommend that Clients wear stretch bottoms or shorts and a T-shirt or sports top. Clients should attend sessions with socks. Full, toe covering socks are required in the studio at all times. Footwear should be removed in the designated area before entry to the studio area.

 

Safety & Hygiene

  • In the interests of safety and hygiene, no crockery, glass or food are permitted in the changing rooms or studio. Only water is permitted in the Studio.

  • Clients must not walk around the Studio barefoot if they have verruca or similar foot complaints.

  • Clients must use the main entrance to the Studio when entering or leaving the Studio. Fire exits, which are clearly marked, are there in the interests of safety and Clients must not interfere with these exits for any reason. In the event of a fire, Clients are asked to make their way to the nearest available exit.

  • Smoking is strictly forbidden in the Studio or garden.

  • Our studios are under video surveillance.

 

Force Majeure

We shall not be liable to you or deemed to be in breach of these terms by reason of any delay in performing or any failure to perform any of our obligations in relation to these Terms if the delay was due to any cause beyond our reasonable control, including, but not limited to, acts of god, terrorism, explosion, flood, storm, fire, war or threat of war, riot, sabotage, insurrection, civil disturbance, restrictions, regulations, by-laws, prohibitions or measures of any kind on the part of any government, parliamentary, or local authority, strikes, lockouts or other industrial action or trade disputes (whether involving our employees or those of any third party), I.T, viruses, difficulties in obtaining raw materials, labour , fuel, parts or machinery, power failure or breakdown in machinery.

 

Waiver

You release, discharge, and hold harmless Studio 214. This includes its instructors, employees, and contractors. This covers any claims, liabilities, or demands. These may arise from my participation in any classes or activities at the studio. This waiver (in writing or verbal consent before class) extends to personal injury, accidents, or illnesses. These may occur while attending or participating in Studio 214 classes.

 

Severability

If any part of these Terms is found by a court of competent jurisdiction or other competent authority to be invalid, unlawful or unenforceable then such part will be severed from these Terms, the remainder of which will continue to be valid and enforceable to the fullest extent permitted by law.

 

Entire Agreement

These Terms together with our disclaimer and any policies we have in force from time to time constitute the entire agreement between us and you and shall have effect to the exclusion of any other memorandum, agreement, or understanding of any kind, whether oral or written, between us and you.

 

Governing law and jurisdiction:

These Terms shall be governed by and construed in accordance with English law and the parties hereby agree to submit the exclusive jurisdiction of the English courts.

 

General

  • Clients are required to give written notice to the Company of any change of address. Failing such notice, all communications will be assumed to have been received by the Clients within five days of mailing to the last address notified to the Company.

  • The Company reserves the right to refuse admission to the Studio.

  • The Company may assign the benefit of the Registration Process and a Clients relation to a third party at any time without notice to the Clients.

  • A person who is not a party to the Registration Process has no rights under the Contracts (Rights of Third Parties) Act 1999 to rely upon or enforce any term of the Registration Process.

  • The Company may, if a Clients so wishes, communicate with the Clients by electronic mail (“email”). By providing an email address to the Company the Clients consents to receiving email communications from the Company, including notices pursuant to the Terms and Conditions. The Clients also accepts the risk that email may not be a secure and confidential means of communication. The Company will not be liable for any loss or damage suffered as a result of communicating with a Clients by email.

  • Clients must at all times observe the Studio guidelines which may be notified to them from time to time and are requested to comply with any reasonable directions which the management of the Studio may issue to ensure the smooth operation of the Studio for the convenience of all Clients.

 

Any marketing, educational or other materials of any nature whatsoever produced by the Company in connection with the Studio and which are made available to Clients at the Studio will at all times remain the property of the Company and will be subject to the Company’s copyright.

Reformer Pilates Terms and conditions

Terms of service:

The use of 'I' pertains to the participant.

 

1. Assumption of Risk

I understand that participating in Reformer Pilates and any other classes at Studio 214 involves physical activity. This carries a risk of serious injury, including but not limited to muscle strains, sprains, fractures, dislocations, or aggravation of pre-existing conditions. I acknowledge I am voluntarily engaging in these activities. I assume all risks related to my participation. This includes any injury from using equipment, facilities, or my own physical condition.

 

2. Medical Conditions

I confirm I am physically fit. I have no medical conditions preventing my safe participation in exercise classes. All health information I provide is accurate and complete. If pregnant, I consulted my doctor. I informed the instructor before participating. I understand it is my responsibility to inform Studio 214 of any health changes. These may affect my safe participation.

 

3. No Medical Advice Provided

I understand Studio 214 instructors are not medical professionals. They do not diagnose conditions or provide medical advice. Any guidance on exercises or modifications is not medical in nature.

 

4. Emergency Medical Consent

In the event of an injury or medical emergency, I authorize Studio 214 staff to seek necessary medical attention. This includes calling emergency services. I agree to be responsible for any associated costs.

 

5. Liability Waiver

I release, discharge, and hold harmless Studio 214. This includes its instructors, employees, and contractors. This covers any claims, liabilities, or demands. These may arise from my participation in any classes or activities at the studio. This waiver extends to personal injury, accidents, or illnesses. These may occur while attending or participating in Studio 214 classes.

 

6. Late Arrival and Cancellation Policy

I understand arriving late may prevent my class participation. No refunds are provided for late arrivals. I also agree to Studio 214's cancellation policy. It requires cancellations at least 24 hours before class. This avoids charges.

 

7. Use of Facilities

I understand Studio 214 does not have dedicated changing rooms or showers. I will arrive prepared for class. If I need to change, I acknowledge facilities are limited to one toilet cubicle.

8. Photography and Media Release

I grant Studio 214 permission to use photographs or videos taken of me during classes. This is for promotional purposes. It includes social media, the website, or other marketing materials.

 

9. Agreement

By attending class, I confirm I have read and understood all terms. I had the opportunity to ask questions. I accept full responsibility for my participation. I agree to comply with Studio 214's policies and guidelines.

Reformer Pilates Group booking Terms and conditions

By booking a private group class you agree to the terms and conditions below.

Once booked it is assumed that you have shared the agreement/T&Cs to all members of your party and they are fully informed of these conditions. The person booking the private group session agrees to be held responsible for ensuring that all members of their party and their guests are aware of and follow the guidelines here. Studio 214 has the right to terminate your private class immediately if any guidelines are not adhered to.

Guest expectations

We expect all participants to wear grip socks, to be fit and able to take part and to have gained advice from their GP if necessary.

Any medical conditions need to be disclosed before class.

Verbal consent will be asked for at the beginning of class.

We reserve the right to ask any guest to leave if their words or actions are considered disrespectful, discriminatory, or disruptive to the safe and supportive environment we strive to maintain.

Terms of service:

By booking the sauna you agree to the terms and conditions below.

Studio 214 has the right to terminate your hire of the sauna/cold plunge immediately, at their discretion.

GUEST CONDUCT AND EXPECTATIONS

We cannot accept responsibility for the actions or behaviours of individual guests. However, if something or someone makes you feel uncomfortable at any point during your visit - whether in the sauna, cold plunge, or on the wider premises - we strongly encourage you to let a member of the  team know immediately. We will handle the matter with sensitivity, discretion, and take any necessary steps to ensure your wellbeing.

We reserve the right to ask any guest to leave if their words or actions are considered disrespectful, discriminatory, or disruptive to the safe and supportive environment we strive to maintain.

GENERAL AND MEDICAL INFORMATION

Check with a doctor before using our facility if pregnant, diabetic, have underlying health issues/concerns or are under medical care. This includes any history of dizziness or fainting. This also includes any metal pins, rods, artificial joints or any surgical implants including silicon, although the risk is low, you should check with your own GP.

By signing our waiver, you understand the risks and have consulted with a medical professional. You understand and take full responsibility for your own health and well-being.

Anyone entering the sauna/cold plunge assumes full responsibility for their medical / health condition, including but not limited to, any medications the guest may be taking which could result in a medical emergency or unsafe condition.

Our team at Studio 214 will always be around to see you in to your first Cold Plunge. If you have not visited us before so that we can guide you through the safety precautions and observe your initial reaction. This does not mean that we will always notice everything. All conversations about your health and wellbeing between guests and staff will be strictly confidential unless there is a safeguarding issue or immediate concern for safety. Any advice offered is intended to support general wellbeing and personal empowerment, not to diagnose, treat, or replace guidance from qualified healthcare providers. Always consult with your GP or a licensed medical practitioner before making any significant changes to your health regimen.

In the event of an emergency, the following procedures must be followed: A fully stocked first aid kit is available on-site, and trained staff members are on hand to provide assistance. When Staff are unavailable, please recognise that you have accepted responsibility as listed below and that the correct procedures will be followed by all guests. The first aid kit is at reception. If you experience a burn to yourself, minimum recommendation of 20 minutes in cold water immersion (just the injury, not the full body!) In case of serious injury or medical emergency, emergency services (999) should be contacted immediately. Use Unit 2 Knightswick centre for the location for the emergency services.

REDUCE THE RISK OF OVERHEATING & SCOLDS

Prolonged exposure to heat can cause your body to overheat, so we recommend limiting your time inside to 15–20 minutes before cooling down outside or with a Cold Plunge. Everyone's tolerance is different, so listen to your body - not your ego.

If you start to feel dizzy, nauseous, sleepy, get out and let a member of the team know. Please do not use the sauna if you've recently consumed alcohol, drugs, or certain medications. These can impair your body's ability to regulate heat.

Leave your jewellery, watches, glasses, and any other metal accessories outside the sauna.

 

CLEANLINESS, COLD PLUNGES & COMMON SENSE

Maintaining a clean and hygienic environment is essential for the wellbeing of all guests.

Cold Plunges: Occasionally treated with a tiny dash of anti-bacterial solution (11ml per 100L - that's less than a splash), our cold plunges are filled with drinking-grade tap water. But... they take 3–4 hours to fill, so if you see one empty, it's not sabotage - just logistics. We reserve the right to empty them if we suspect they've gone murky. If we wouldn't dip in it, we won't let you either.

Towel Use: Towels are non-negotiable sauna sidekicks. Sit on one. Dry off with another. We do have spares, but if it's a busy day, they may have had a second date with someone else. Bring two of your own to be sure: one for sweat, one for smug drying.

Footwear: Flip-flops or non-slip sliders help prevent graceful skids between hot and cold zones.

Sauna Hats: Feel free to bring your own!

Swimwear: Unless you're attending a clearly labelled clothing-optional event, appropriate swimwear is required at all times.

Cleaning Protocols: We clean regularly and thoroughly, but if something seems off, let us know. We'd much rather tackle it swiftly than leave it to fester.

 

ACKNOWLEDGMENT OF RISKS

Smoking or Vaping is NOT permitted onsite.

 

PHONES

We do have a good mobile signal where we are. However, phones or electronics don't like heat. If you choose to use any electronics or technology during your sauna sessions, do so at your own risk.

 

UNDER 18's

Unfortunately no under 18's are permitted 

 

NUDITY/DRESS CODE ETIQUETTE

Bookings are for exclusive use so you're welcome to enjoy it in the traditional German or Finnish style (i.e. naked). Just remember to sit on a towel. No nude cold plunges though please.

We recommend a bathing suit, but if you feel more comfortable in a t-shirt, wrap or robe - go for it. This is your experience.

 

TOWEL ETIQUETTE

Towels are non-negotiable - not just for style, but for hygiene. Please lay your towel down before sitting, and make sure all parts of you stay on it. We love a good sweat, but no one wants to sit in yours. Be a good sauna citizen: towel it up and keep the benches booty-residue-free.

ALLERGIES

 If you're allergic to anything we need to know.

CANCELLATION POLICY

Booking a sauna and then disappearing is bad sauna etiquette - we won't chase you down, but your missed session will sit there in the steam, quietly judging. Scheduling an appointment is the reservation of time put aside specifically for you. It's not just a slot on a calendar - it's real firewood, real heat, and real people getting things ready for you. You acknowledge a mutual understanding of the value of our time. Cancellations made more than 48 hours before your scheduled session are eligible for a full refund (minus any transactional fees processed through the payment platform. Payment platforms don't care about our small business- they just take their cut and carry on. Sorry :(Cancellations made within 48 hours of your appointment are not eligible for a refund, but you may reschedule once for a future date.

Cancellations within 24 hours of your appointment are non-refundable and cannot be rescheduled. Exceptions may be made in extreme circumstances. If this applies, please contact the team directly via phone or WhatsApp message.

Please note: Sending a message does not guarantee the change has been accepted-you must receive a confirmation response to validate any updates to your booking.

Thank you for understanding and respecting this policy. You also understand that showing up late means less time in the recovery room.

 

LOST PROPERTY

Studio 214 is not liable for any lost, damaged, or mysteriously vanished personal belongings. If it's precious to you, best keep it close or leave it at home. If you leave something behind, we'll pop it in our Lost Property cupboard and hang onto it for a reasonable time.

 

DISCLAIMER:

I FREELY ACCEPT AND FULLY ASSUME ALL RISKS, DAMAGES AND HAZARDS AND THE POSSIBILITY OF PERSONAL INJURY, DEATH, PROPERTY DAMAGE AND LOSS FOR MYSELF AND MY GROUP BOOKINGS.I acknowledge this waiver of liability form. I fully understand its terms and conditions and I understand that I am waiving and giving up my right to sue Studio 214 and any affiliated parties. I acknowledge that I am signing this agreement voluntarily and intend by my signature for this to be a complete and unconditional release of liability to the greatest extent allowable by law. By attending a session at Studio 214, I acknowledge that I am ultimately responsible for the safety and wellbeing of myself and my guests while on site. This includes exercising personal judgment, following all instructions and signage.
